  1. COLLECTION OF FEES
  2. A. Collection of maintenance and/or special assessment fees
    1. Mail collection letters to delinquent
    2. Phone delinquent owners if necessary
    3. Mail certified letter to delinquent owners two or more months behind
    4. Prepare and file claim of lien with Clerk of Circuit Court (filing fees additional)
    B. Make bank deposits
    1. Collect on NSF checks, prosecute through State Attorney's office if necessary
    2. Reconcile bank statements monthly

  3. COMPUTERIZED ACCOUNTING

  4. - Process all Accounts Payable on the fifteenth of each month
    1. Process monthly checks
    2. Inspect or verify all work prior to paying maintenance bills
    3. Internal system of checks and balances
    4. Maintain accurate accounting records

  5. MANAGEMENT SERVICES
  6. A. Periodic property inspections. General enforcement of Association Rules and Regulations
    B. Process maintenance calls form owners
    1. Twenty-four hour voice mail for emergency situations
    C. Use only qualified professional maintenance vendors
    1. Extensive portfolio of vendors with business relationships developed over several years
    D. Obtain bids for major projects
    E. Initiate work contracts on behalf of board
    1. Honor all existing maintenance contracts
    2. Board to approve final contract prior to signature
    F. Coordinate / Inspect maintenance work and services
    G. Handle permits, corporate annual report, etc. as required by law
    H. Schedule General Membership and Board Meetings
    1. Attend Meetings
    I. Mail out Annual Budget and Income and Expense Reports to owners
    J. Maintain current files for all correspondence
    K. * Legal advice available from an independent attorney as needed
    1. Schedule and attend mediation hearings

  7. PREPARATION OF FINANCIAL DOCUMENTS
  8. A. Annual Budget
    B. Monthly Income and Expense Report with year to date figures
    C. Year end Income and Expense Report
    D. * Tax Return provide necessary figures and documents to accountant for filing return

  9. MISCELLANEOUS
  10. A. * Provide Management, Leasing and Sales service to individual owners
    B. Develop and implement Application Screening Policy if needed
    1. Member of Merchants Association Credit Bureau
    C. * Notary Services
